The 5-Touch Follow-Up System Every Listing Agent Needs

Here's an uncomfortable truth about lead follow-up: the agent who follows up wins, and few agents follow up. Not because agents are lazy — because there's no system, so every follow-up has to be invented from scratch, and invented tasks don't get done.

The fix is a fixed sequence. Same touches, every lead, every time. Here's a five-touch system that works for buyer and seller leads alike.

The five touches

Touch 1 — Day 0 (within the hour): the acknowledgment. Short and human. "Thanks for reaching out about [property/valuation] — I'll have [the info] to you by [time]." Speed matters more than polish here.

Touch 2 — Day 2: the value add. Send something useful, not a nudge. A comparable sale, a new listing that matches their criteria, an answer to the question they asked. No "just checking in" — every touch carries information.

Touch 3 — Day 7: the question. One direct question that invites a reply. "Are you hoping to move before the school year, or is your timeline flexible?" Questions get answers; statements get ignored.

Touch 4 — Day 14: the soft case. A brief proof point. "Helped a buyer in [neighborhood] last month — similar budget, closed in three weeks." You're not bragging; you're reducing their perceived risk of working with you.

Touch 5 — Day 30: the clean break. "I'll stop bugging you — if timing changes, I'm here." This email tends to get more replies than the others, because leaving is what makes people decide.

Automating it without losing the human feel

You can run this manually for a handful of leads. Past that, you need automation — but the automation should handle timing and reminders, not pretend to be you. Templates with real personalization fields (name, property, neighborhood) beat fake-casual "oops, did my last email land?" tricks.
